OMNI HRMS (the "App") is an internal workforce-management application provided to employees of the organization that has deployed it (the "Employer"). This policy explains what information the App collects, how it is used, and how it is protected. The App is distributed only to employees provisioned by their Employer's HR/administration team - it has no public sign-up.
Your Employer is the data controller for the information described below. The App and its backend service are operated on the Employer's behalf. Questions about your personal data, including requests to access or delete it, should go to your Employer's HR/IT team (contact details below) rather than an app-store review or a general support request, since only your Employer can identify and act on your specific employee record.
| Category | What's collected | Why |
|---|---|---|
| Account/sign-in | Work email address; if you sign in with Google or Microsoft, the identity token those providers return (name, email) is used to verify your account. | Authenticate you and match you to your existing employee record. The App has no public registration - only pre-provisioned employees can sign in. |
| Employee profile (read-only) | Name, employee code, department, manager, work location, hire date, work mode, and - where applicable to your role/country - statutory identifiers such as PAN, Aadhaar, PF/UAN/ESI numbers. | Displayed to you on your own "Profile" screen so you can view your own record. This data is maintained by HR and is read-only within the App - you cannot edit it here. |
| Precise location (GPS) | Latitude, longitude, and accuracy. | Collected only at the moment you tap Check In or Check Out for mobile attendance, to confirm you are at (or near) an approved work location. Never collected continuously, in the background, or for any other purpose. If you don't use mobile check-in/out, no location is ever requested. |
| Attendance, leave, on-duty, advance, and payslip data | Dates, times, reasons/notes you enter, approval status, and related amounts. | Core HR functions the App exists to provide - submitting and viewing your own requests, and (for managers) approving your team's. |
| Device identifier | A stable per-installation identifier (Android ID). | Sent at sign-in so the system can flag if the same device is unexpectedly used for more than one employee's attendance punch (a fraud/proxy-attendance safeguard). |
Data collected through the App is used solely to operate the HR functions described above - authentication, attendance, leave, on-duty, advance requests, payslips, and manager approvals for your Employer. We do not sell your data, and we do not use it for advertising.
| Service | Purpose |
|---|---|
| Google Sign-In | Optional sign-in method, if enabled by your Employer. Governed by Google's Privacy Policy. |
| Microsoft Sign-In (MSAL) | Optional sign-in method, if enabled by your Employer. Governed by Microsoft's Privacy Statement. |
| Google Play Services Location | Used to obtain a one-time GPS fix when you check in/out. |
| OpenStreetMap tiles | Used only to render a map preview of your captured location before you confirm a check-in/check-out submission. |
The App itself does not include a self-service "delete my account" option, because your employee record is owned and managed by your Employer's HR system, not by an individual user account. To request access to, correction of, or deletion of your personal data, or to ask any question about this policy, please contact your Employer's HR/IT team using the details below.
We may update this policy from time to time to reflect changes in the App or applicable law. The "Last updated" date at the top of this page reflects the most recent revision.
